WhatsApp is where Indonesian customers already are: nine in ten Indonesians are active on it every month [1]. For a small business it is the right place to start selling. Trouble starts when the business grows and the chat is also the order book, the booking calendar and the place where payments get checked.

This article lists the signs that your orders have outgrown WhatsApp, what an admin dashboard changes, and how to move without losing the chat your customers like. The examples come from projects we designed at Align Studio.

What are the signs your orders have outgrown WhatsApp?

If two of these happen every week, it is time to look at a system:

  • Customers ask the same question again and again, like where their parcel is, and someone answers each one by hand.
  • Your team runs the day from chats, spreadsheets and paper, so nobody sees the whole picture at once.
  • Problems show up too late, like a missing driver or an unpaid balance found when the customer has already arrived.
  • Rates, prices or totals are worked out by hand, and a wrong number can sit unnoticed for weeks.
  • You only see your margins at the end of the month.
  • Orders arrive half complete, and you go back and forth to get the size, the colour or the address.

What does running on chats cost a business?

Mostly time, and problems caught too late. At SSCN, a business that buys and ships goods from China for its customers, the most common question arrived on WhatsApp again and again, and the team answered each one by hand. A wrong rate or a missed top-up could sit unnoticed for weeks, and margins only appeared at month end.

At Surya Bintang Adventures, an adventure tour operator, the team ran each tour day from chats, sheets and paper manifests. Missing drivers and unpaid balances surfaced too late, often with the guest already at the river.

What does an admin dashboard change?

It puts orders, bookings and payments in one place that the whole team reads from. Customers answer their own questions on the website, and your team sees problems while there is still time to fix them.

SSCN customers now check where their goods are with the invoice number and the last four digits of the phone number on the order. At Surya Bintang Adventures, the website answers guests' questions and takes the booking and payment on its own, and the team runs the day from the admin and agent portal.

Do you have to stop using WhatsApp?

No. Keep WhatsApp for the conversation and move the record out of it. DOMO SPACE, a furniture showroom, still closes sales on WhatsApp, because buyers here want to hear a price from a person. Its website lets them browse by room and save the right sizes, then sends the whole list to the team in one message, so every chat starts complete.

Where should you start?

Start with the question you answer most often. If it is "where is my order", a tracking page may be enough. If it is "is this date available", start with booking. Add an admin when your team needs to act on the same records.

With us, a website with booking or ordering costs Rp50–80 million, and a website plus admin starts at Rp80 million. Our article on website costs in Indonesia explains what each range includes.
